We use a camera or video camera to record conditions of collections and documents . We make sure images clearly record damage. We supplement with better quality photos when necessary. We make notes and voice recordings to accompany photographs. We assign staff to keep records of contacts with insurance adjusters and other investigators. We institute staff decisions on retrieval and salvage. We make visual, written and voice records for each step of salvage procedures. We separate undamaged from damaged items. We retrieve all pieces of broken documents and label them. We check items for mold. If mold is found, we handle objects with extreme care and isolate them. DAMAGE ASSESSMENT We notify your insurance representative or risk manager of the assessment. We will provide an on-site evaluation before taking action. We make a rough estimate of the type of materials affected and the extent and nature of damage. We look for threats to worker safety or collections and documents. We determine status of security systems. We note how long the materials have been wet and the current inside temperature and relative humidity. Documenting the damage is essential for insurance and will help you with recovery. SALVAGE PRIORITIES We establish salvage priorities by groups of materials, not item-by-item. A library might use subject areas or call numbers; an archives, record groups; and a museum, material groupings. We focus first protection efforts and salvage work on: Vital institutional information; employee and accounting records, accession lists, shelf list and database backups. Documents that most directly support the institution's mission. Documents that are unique, most used, most vital for business, most representative of subject areas, least replaceable or most valuable. Documents most prone to continued damage if untreated. Documents with materials most likely to be successfully salvaged Quantities too large to handle within the first 48 hours should be frozen either for defrosting and air drying at a later date.
